The following outlines your main duties, but is by no means exhaustive, as the nature of the PR &amp; Marketing business is variable and full of surprises.  

Main Duties:

Reception - You will be the first person visitors are likely to meet. First impressions count. Please be polite and friendly. Ensure the reception area and conference room are always neat and presentable and make sure visitors sign in.  Account teams will let you know if refreshments are required. 

Telephone  You are the primary person to answer incoming calls which means it will be your responsibility to deal with call accordingly either directing it to the appropriate department or logging messages.

Meeting Room  Provide tea/coffee and biscuits for meetings. Also organise a working lunch if requested.  

Post - Sort incoming post and deliver to the relevant persons desk. 

Faxes - Make sure all incoming faxes are given to recipient promptly.  Make sure the fax machine always has paper.

Travel arrangements/Couriers/Taxis  You will be asked to organise and book and package up parcels that need to go by courier and to organise travel arrangements including flights, hotels, taxis, rail and car hire at competitive rates.
  
Logging magazines  Logging the magazines and update database from contact information on a day-to-day basis when they arrive and pass them on to Maria for cutting.

General Admin:

Filing of magazines, photocopying, keeping logs up to date etc.

Maintain cleaning log and communicate with cleaners to ensure standards of cleanliness and hygiene are maintained.

We envisage that the role will develop according to the individuals particular strengths.  There are opportunities to incorporate duties from accounting, human resources, general administration, database management and PR distribution and monitoring.
