PA/HR Administrator Role Description:
The role of PA/HR Administrator is to provide a secretarial/PA service to the VP and Director, HR, Europe and to assist with general administration within the HR department.
The main PA duties will include:
> Managing HR Director’s diary, arranging meetings as required.
> Managing the HR Director’s emails and post in both English and German, filtering and clearing those that can be dealt with and drawing attention to urgent matters.
> Dealing with phone calls and visitors acting as a gatekeeper or providing information and hospitality where necessary.
> Organising events and meetings, preparing papers, booking and preparing both rooms and refreshments.
> Producing documents and PowerPoint presentations as required.
> Undertaking Director’s office administration, keeping electronic and hard copy files up to date.
> Arranging travel and compile expense returns.
The role will also require the successful candidate to act as a focal point within the HR department, being a source of information and problem solving where necessary.
The PA/HR Administrator will be required to liaise with senior members of management within the organisation, including the HR Director’s reporting managers.
As part of the this role there are a number of HR administration tasks these include:
> Managing the Company’s loyalty award scheme
> Organising the Company’s reward schemes (Pacesetters; GEM)
> Organising the annual 25 year club gatherings
> Ordering flowers.
> Ensuring the HR intranet site (Portal) is up-to-date.
An additional element to the role is to act as the department Fire Monitor
Selection Criteria:
> A high level of literacy and numeracy skills are essential for this role
> Previous experience in a similar role would be an advantage, but office experience is essential
> The successful candidate would ideally have a good working knowledge of German, with the ability to communicate with colleagues based in Germany over email on the phone.
> The role requires the ability to use Outlook, Word and PowerPoint to a high standard, have experience of using excel at a basic level.
> Is it essential that the role holder is extremely well organised, with a high degree of accuracy.
> This role will require the successful candidate to maintain total confidentiality; will a calm and professional outlook.
> Shorthand would also be desirable.
> Some knowledge of HR would be helpful.
