The Executive Assistant Opportunity:
We are seeking a professional, highly attentive and organised Executive Assistant to support the Founders. This challenging yet exciting role requires someone who is always two steps ahead, with the ability to proactively manage multiple projects, and assist with all business and personal matters in a calm and unflappable manner.
You will need to be highly detail-oriented, efficient and capable of operating in a very dynamic environment juggling the expectations of a wide range of people across the company. The successful candidate will be able to work on their initiative while demonstrating professionalism and discretion at all times. You are calm under pressure, extremely reliable with keen attention to detail.
+ Support the Founders with a wide variety of tasks, maintaining a flexible and adaptable approach at all times
+ Act as gate-keeper, managing the Founders’ time and workload to enable them to carry out their roles and deliver their goals
+ Extensive and detailed diary and correspondence management; coordinating all meetings, conference calls, pitches, interviews and shows
+ Detailed business and leisure travel bookings, including but not limited to itineraries, flight check in, transportation to and from airport etc
+ Provide commercial, HR and project support to the CEO by reviewing and summarising reports, presentations and documents.
+ Prepare background meeting documents and agendas in advance and organise the distribution of follow up documents as required
+ Take minutes in Leadership and Partnership meetings and ensure all resulting actions are documented, distributed and followed through to completion
+ Support the Founders and Leadership Team on general project meetings and ad hoc requests
+ Support the wider leadership team with their diary/travel needs and ad hoc arrangements within the UK and internationally
+ Personal errands outside the office, contactable outside of ‘regular’ business hours and weekends
+ Act as a loyal confidant to the Founders, acting with the utmost confidentiality and discretion at all times
+ An ambitious, driven individual looking for an amazing opportunity
+ Exceptionally organised and efficient, with a good dose of common sense and initiative
+ Confident, calm and diplomatic character with the ability to nurture and develop relationships with high profile clientele
+ Quick thinker – able to work at high pace in a changing environment
+ Highly literate, with excellent communication skills
+ Confident managing projects and following them through to conclusion
+ Great sense of humour, personal style and attitude
+ Excellent knowledge of MS Office, G Suite and Apple products, with the ability to quickly learn new systems
+ Solving problems and helping others makes you happy, you notice the small things and are willing to take accountability
+ While previous EA experience would be beneficial, it is not essential. However, a positive and professional can-do attitude and willingness to learn ‘on the job’ are a must
+ Full clean driving licence preferred
+ Ability to travel internationally when required
