We are a dynamic Irish SME that distributes our fragrance products to over 4,000 retail store customers around the world. Based in our converted farmhouse in Kilmacanogue, Co. Wicklow we export 90% of our sales to North America, the UK, Europe and Australia.

We have exciting plans to grow our existing markets and enter new ones, but we need you to develop our supply-chain capacity and resilience to make this happen.

The Junior Purchasing Administrator Opportunity:

As a Junior Purchasing Administrator, you'll be a vital contributor to our Supply Chain Operation, reporting to the Supply Chain Operations Manager. Your responsibilities will include creating and managing purchase orders, negotiating with suppliers, maintaining supplier relationships, and ensuring smooth transactions.

This role offers an excellent opportunity for a detail-oriented individual with a passion for supply chain management to contribute to our organisation's success.

Your Responsibilities:

+ Create and release purchase orders to suppliers.
+ Obtain price quotes, negotiate terms, and maintain positive relationships with suppliers.
+ Maintain and update a comprehensive database of suppliers, including contact information, product catalogues, and agreed-upon Minimum Order Quantities (MOQs).
+ Review purchase orders and maintain accurate transaction records.
+ Track and monitor purchase orders, analysing potential conflicts between delivery and production timeframes.
+ Analyse annual purchase volumes and recommend cost-effective purchase volumes based on price breaks.
+ Process goods receipt in a timely manner, ensuring accurate quantity records and reporting any price discrepancies.
+ Collaborate with the finance team to reconcile invoices and resolve billing discrepancies.
+ Assist in evaluating vendor performance and conducting supplier performance reviews.
+ Communicate effectively with internal stakeholders to ensure alignment of procurement activities with organisational goals and objectives.

Key Requirements:

+ Bachelor’s degree in supply chain management or equivalent qualification (preferred but not essential).
+ Minimum of 1 year of purchasing or procurement experience (essential).
+ Proficiency in computer skills including MS Teams, MS Word, and advanced MS Excel.
+ Excellent organisation and communication skills.
+ Can-do attitude, teamwork, and customer-oriented approach.
+ Self-motivated with the ability to use own initiative.
+ Ability to work under pressure and multi-task.
